Help & guides
Start here if you are new to RepairFlow. These guides are public, so you can read them without signing in.
1. Set up your shop
Create an account with your name, shop name, email and password. Complete Shop setup, then use Guided onboarding to add your first customer and repair, or skip those optional records until you are ready.
The owner completes Shop setup: check the business name, contact phone and address, choose a browser language, then review. MYR and Asia/Kuala_Lumpur are fixed for this release. Reopen either wizard from Settings.
Saved records and completed setup are kept for your shop. Unsaved form entries are lost when you leave. Return here from Settings.
Setup and onboarding wizards require sign-in as the shop owner. Create an account to start setup automatically.
2. Receive a device
Add or select the customer, then create a repair with device details, the reported issue, physical condition and accessories. Enter the service charge and direct labour cost in ringgit. A saved ticket starts at Received.
3. Diagnose and repair
Open the ticket to assign an active technician, record diagnostic findings and add internal notes. Move through Diagnosing, Repairing and Ready for collection. If a repair is awaiting approval, record customer approval before resuming work. Record spare parts on the ticket so inventory and costs stay connected.
4. Invoice, payment and collection
Set the repair to Ready for collection and issue its invoice. Issuing freezes its charges and parts. Record actual payments separately; recording a payment does not charge a card or move money. Mark the repair Completed on collection. Print the invoice or save it as PDF from your browser.
In Settings, open Your invoice logo. Choose a PNG, JPEG or WebP file and wait for the saved message. Use Remove logo to return to a shop-name-only invoice header.
PNG, JPEG or WebP, up to 2 MB. Images are fitted within 640 × 240 pixels. A transparent PNG works well.
Logo changes apply to newly issued invoices. Already-issued invoices keep their original logo and details.
5. Keep customers informed
Generate a private tracking link in the repair and share it manually using your chosen channel. Treat it as confidential. A new link revokes the old one. WhatsApp, SMS and email sending are not connected: Messages stores drafts and templates only, with no automatic delivery or omnichannel inbox.
Customers see the shop name/contact phone, repair number, device brand/model, current status, received date and expected completion date. Internal notes, diagnosis, costs, profit, payment history and customer contact details are not shown. Anyone holding the link can open its limited status view.
6. Stock and business numbers
Create spare parts, then receive or adjust stock with a reason. Record parts usage against repairs. Add operating expenses separately. Revenue is recognized at completion; cash received is shown separately. Stock purchases are not operating expenses. Reports and selected features require an entitled plan.
7. Work with your team
An owner on a plan with staff invitations can create a role-based invitation. Share the invitation link securely; it expires in 72 hours and no invitation email is sent. Technicians see their assigned repairs. Role changes revoke existing sessions. Staff access follows their current active membership.
8. If you get stuck
Check the selected customer, required fields and allowed status transition. Reconnect before saving if offline. If you reach a plan limit, contact your administrator. Password recovery and email verification are not available yet; contact the application operator for account-access issues. Do not share passwords or customer tracking links publicly.
Plans and limits
Free includes 30 repairs per month, one owner, customers, basic invoices/payments and private tracking links. Advanced tools require an entitled paid plan.
Prices in MYR. Paid plans renew manually every 30 days. No automatic recurring charges.
Each payment buys 30 days. Renewing the same plan extends your remaining time. There is no automatic debit. Change plans after expiry. Expired subscriptions use Free limits and keep existing records.
Manage subscription payments — Setup and onboarding wizards require sign-in as the shop owner. Create an account to start setup automatically.
Account security
Open Account security from the sidebar. Enter your current password, a new password and its confirmation. After the change, sign in again with the new password; previous sessions are revoked. Email-based password recovery is not available yet.
